USING YOUR POLYCOM TELEPHONE

 

 

 Making a call

 

Lift the handset from the cradle. When dialtone is heard dial the number you want to call. Depending on the number you dialed your phone will wait 3 seconds to ensure that you have completed dialing. The phone will then dial the number automatically. If you complete your dialing and don't care to wait the 3 seconds you may press the"#" key or the send softkey under the display and the phone will dial immediately.

 

 

Blind transferring a call

 

While there is a call in progress -

 

1. Press the softkey under the display labeled "Trnsfer"

2. Enter the number of the extension to which you wish to transfer the call and press the "Send"

3. The phone where you are sending the call will ring - at this time you can press transfer again and the call will be sent.

 

 

Screened transferring a call

 

While there is a call in progress -

 

1. Press the softkey under the display labeled "Trnsfer"

2. Enter the number of the extension to which you wish to transfer the call and press the "Send"

3. The phone where you are sending the call will ring - wait for the person at that end to answer.

4. When done confering with that person you can press transfer again and the call will be sent.

 

 

Making a conference call

 

While there is a call in progress you may add one additional party to the call -

 

1. Press the softkey under the display labeled "Confrnc"

2. Enter the number of the extension to which you wish to add to the call and press "Send"

3. The phone that you are adding will ring - wait for the person at that end to answer.

4.  Press the "Confrnc" softkey again and you are now joined with both parties

 

 

Paging

 

1.  Dial "8" for paging

 

Hold

 

While there is a call in progress -

1.  Press the hold button - your call is on hold - the line button the call is associated with is now flashing red.

2   To go back to the call, just press the flashing line key and your call is once again active on your phone.

 

 

Parking a call

 

The park feature allows a call to be placed on hold in the system and then be picked up from any other phone in the system.

 

While there is a call in progress -

 

1. Press the softkey under the display labeled "Trnsfer".

2. Enter "60" and press the softkey under the display labeled "Send"

3. You will then hear the system say in a synthesized voice the number where the call is being parked.

4. As soon as you hear the park location press "Trnsfer" again and the call is now parked.

 

Now Anyone at any extension (including your own) can retrieve the call:

 

1.  Lift the handset from the cradle.

2.  When dialtone is heard dial the number where the call has been parked and press the "Send" softkey

3.  The call will be retrieved.

 

After a period of time if the call is not retrieved it will ring back to the phone that parked the call originally.

 

 

Transferring a call directly to voicemail

 

While there is a call in progress -

 

1. Press the softkey under the display labeled "Trnsfer".

2. Enter 7+ the mailbox(extension number) and press the "Send" softkey.

3. Press "Trnsfer" again and the call will be sent directly to the voicemail box.

 

 

Call Forward

 

While there are no active calls on your phone -

 

1.  Press the softkey under the display labeled.

2.  Press 1 ("Always)

3.  Enter the number where you want the calls to be directed ( it can be a cell phone or other external number, but don't fortget to include the "9" if your system requires it)

4.  Press the softkey labeled "Enable" - your calls are being redirected.

 

To cancel call forwarding -

 

1.  Press the softkey under the display labeled.

2.  Press 1 ("Always)

3.  Press the softkey labeled "Disable" - your calls will be directed back to your own phone.

 



Redial

 

To call the number you called last press the "Redial" key.

 

 

Contact Directory

 

1.  To access your Contact directory press the "Directories" button.

2.  Select the Contact Directory by pressing "1".

3.  You may scroll up and down through your contact directory with the up/down arrow cursor control keys located to the right of the display.

4.  Once you have selected a contact you have the option of editing, deleting, or dialing the selected contact - use the "More" softkey to see all of your options.

 

Call Lists Directory

 

1.  To access your Call Lists directory press the "Directories" button.

2.  Select the Call Lists directory by pressing "2".

3.  You may select from Missed Calls, Received Calls, Placed Calls, or Clear by pressing the coresponding number.

4.  When selecting Missed Calls, Received Calls, or Placed Calls, you may clear, save, dial or view info on any number on the selected list.

5.  When selecting the Clear option from the calls list menu you may completely clear any of the three lists.

 

 

Ring Tone

 

1.  To change the ring type press the "Menu" button

2.  Select Settings

3.  Select Basic

4.  Select Ring Type

5.  Using the up/down arrow cursor control keys, highlight the desired ring type.

6.  Press the Select softkey

7.  Press the Menu key to exit

 

 

Speed call

 

There is a 1000 number speed call list for each user on the system.

 

1.  To use it to make a call, dial " 5" plus the three digit speed call list entry.

2.  For instance if you wish to dial entry "1" you would enter " 5001 " when dialing.

 

 

Adjusting the display backlight on your Polycom phone

 

1.  Press the "menu" button

2.  Enter the digits: "3 1 3"

 

 

VOICEMAIL

 

Logging into your voicemail account

 

1.  Call the voicemail system by dialing 100 and press dial.

2.  Enter mailbox number (same as your extension number) plus "#" when prompted

3.  Enter the password (default is same as your extension number) plus "#" when prompted

4.  Once you're logged in, if there are any new messages press "1" to get to new messages

5.  If there are no new messages then pressing "1" will get you to the old messages folder.

 

 

Listen to new messages
